Student Employment

Event Services employs students as part-time staff for various positions. Hours are flexible except for those events which are large enough to necessitate a mandatory call.

In regard to the role of the student staff, the operative words are "successful implementation of event support." In order for this program to continue to grow, guests of the university must receive superior service during their visit to ÀÏ°ÄÃÅ¿ª½±Íø. The student staff is a vital part of this service, and you will be expected to act in accordance with the guidelines set out for you. Always remember that you are the first contact our guests have with the University. Your actions will create the first impression of the staff and University. The key to the success of this program, as well as any other successful business, is service. Service is the common thread that is woven through every aspect of your work.

Job Descriptions

Office Assistant

Event Services maintains the master calendar of events for the University. The responsibilities of the department include reserving any space on campus, as well as providing support for the event and coordinating auxiliary services. Reporting to the director of event services and auxiliary management, this position will support the clerical functions of the department.

  • Efficiently operate a busy multi-line phone system;
  • Accurately record detailed phone messages and reservation requests;
  • Accurately type facility confirmations and file them when completed;
  • Distribute information (facility confirmations and events sheet) using various methods of distribution;
  • When requested, work with logistical staff to set-up/break-down events;
  • When requested, attend events (weekends, evenings, holidays);
  • Operate a two-way radio system; and
  • Execute various other tasks as assigned by the director of the department.

Requisite Skills and Responsibilities

  • Strong customer service/communications skills;
  • Ability to use word processing and spreadsheet programs;
  • Detailed oriented;
  • Proficient office/telephone manner;
  • Knowledge of Windows and DOS environments;
  • Able to handle multiple tasks simultaneously; and
  • Able to work in a fast-paced environment.

The position with Event Services is one of importance to ÀÏ°ÄÃÅ¿ª½±Íø's active event program. The student is a direct reflection of the Event Services and ÀÏ°ÄÃÅ¿ª½±Íø. Every student is expected to present a positive image to all guests and clients. This is accomplished through a neat appearance, a pleasant and friendly disposition, attention to detail, and a commitment of service to ensure success.

Event/Logistical Staff

Reporting to the director of Event Services, this position will assist the members of the full time staff with the following responsibilities:

  • Move, install, arrange, and breakdown tables, chairs, tarps, podiums, stage sections, and/or technical and multi-media equipment for University events both on and off campus;
  • Attend events and provide last minute logistical, housekeeping, or production needs. This position may also be asked to pick up or return equipment from various locations on and off campus;
  • Assist staff with various projects and assignments not directly related to events such as inventory, repair, and preventive maintenance of all equipment;
  • Function independently and as a part of a team representing the University while assisting students, faculty, and off campus guests before, during and after events;
  • Maintain a constant dialogue between the director and other members of the staff using several forms of communication including paper, electronic, and wireless systems;
  • Operate several types of vehicles including multi passenger vans and 15' chassis body with box cube attached; and
  • Must possess excellent inter-personal skills.

This position is highly visible and interfaces with all elements of the campus community including president's office, admissions, student organizations, development, and a variety of campus guests. Each individual will be required to exhibit tact and diplomacy when dealing with event sponsors, support departments, and third party contractors.

Requisite Skills and Responsibilities

  • Stringent attention to detail and strong customer services skills;
  • Must be able to work flexible schedule, including evenings and weekends which will be determined weekly;
  • Possess excellent communication skills;
  • Have a valid motor vehicle operators license;
  • Exercise problem ownership values;
  • Ability to react decisively and with good judgment to problems and be adaptive to changing situations; and
  • Refined time management skills

Summer Event Staff

Reporting to the director of Event Services, this position will assist the members of the full time staff with the following responsibilities:

  • Prepare rooms for conference guests. This includes, but is not limited to, making beds, providing towels and amenities, performing light housekeeping, and collecting used linens;
  • Report necessary maintenance problems, inadequate room set-ups, and low inventory of linens, amenities, or related items;
  • Work at the Guest Services desk to facilitate check-in and checkout;
  • Respond to customer questions and concerns in a prompt and courteous manner. Every employee will receive training on how to respond quickly and effectively to guest needs and concerns; and
  • Assist full-time logistical staff with setting up and breaking down facility or event arrangements. This includes tables, chairs, staging, tarps, multi-media equipment, lighting and sound systems, or related equipment
